How to Calculate PTO Accrual

For a plan that grants a fixed annual number of PTO hours evenly through the year, the core calculation is annual PTO hours ÷ accrual periods per year.

To express the same annual allowance as an hourly accrual rate, the calculator uses annual PTO hours ÷ (scheduled hours per week × 52). For example, 120 PTO hours ÷ 2,080 scheduled hours is about 0.0577 PTO hours per hour worked, or roughly 1 PTO hour for every 17.33 scheduled hours.

The calculator then estimates starting balance + PTO earned − PTO used. If you enter an accrual cap, it limits the balance after adding earned hours and before subtracting usage.

Some plans accrue PTO by hours worked instead of by pay period, delay accrual during an introductory period, use tenure-based tiers, pause accrual at a cap, or treat different leave banks separately. Use your employer's actual policy if it differs from this model.

PTO Policies Can Change the Accrual Result

A PTO calculator should not assume every employer uses the same policy. Check whether your plan has a waiting period, front-loaded time, an accrual cap, carryover limits, tenure tiers, part-time rules, or accrual based on hours actually worked.

At the federal level, the Fair Labor Standards Act does not require paid vacation or general-purpose PTO. State and local leave laws, employer policies, collective agreements, and government-contract rules can create different requirements.

California is one example of why policy details matter: the state does not require employers to offer vacation, but when an established vacation plan exists, earned vacation is treated as wages and accrues as labor is performed. California also permits reasonable accrual caps rather than forfeiture of already earned vacation.
